​​​​FRIDAY LOAD-IN PROCESS

STEP 1 — ARRIVE AT GATE 40

• Enter Daytona International Speedway through Gate 40 off S. Williamson Blvd.

• Immediately after entering Gate 40, make a RIGHT.

• MOTORE di ELITE signage and event staff will direct you to the designated participant check-in area.

STEP 2 — CHECK IN WITH MOTORE di ELITE TEAM

• Check in with our event team upon arrival and collect your event credentials (Lanyards and Wrist Bands).

• Staff will confirm your company and direct you to your assigned sponsor activation location. i

• Please do not proceed into the Speedway or attempt to locate your activation space until directed by event staff.

STEP 3 — PROCEED TO YOUR ASSIGNED LOCATION

• Once instructed, you will proceed into the Daytona International Speedway infield and toward the Fanzone.

• MOTORE di ELITE staff will direct you to your pre-assigned sponsor activation location.

• Please drive slowly, maintain a safe distance from other vehicles and equipment, and follow all event staff instructions.

STEP 4 — UNLOAD & SET UP YOUR ACTIVATION

• Once you arrive at your assigned location in the Fanzone, you may begin unloading and setting up your sponsor activation.

​

• Depending on your approved activation, this may include:

  • Tents and canopies

  • Tables and chairs

  • Signage and banners

  • Product displays

  • Promotional materials

  • Display vehicles

  • Equipment

  • Branded materials

  • Other approved activation elements

 

Please arrive with everything necessary to complete your setup.

 

All activation elements must remain within your assigned sponsor footprint unless otherwise approved by MOTORE di ELITE.

STEP 5 — REMOVE SUPPORT VEHICLES & TRAILERS

• Once unloading is complete, vehicles and trailers that are not part of your approved event display must be removed from the Fanzone.

• MOTORE di ELITE staff will provide direction regarding where support vehicles, transport vehicles and trailers should be relocated.

• Please do not leave unnecessary vehicles, trailers or equipment within the exhibition area.

STEP 6 — COMPLETE YOUR ACTIVATION SETUP

• Please make every effort to have your sponsor activation completely set and show-ready Friday afternoon.​

• Before leaving your activation, make sure:

  • Your display is completely set

  • Signage is properly positioned and secured

  • Display vehicles are in their approved locations

  • Equipment and materials are contained within your assigned footprint

  • Boxes, packaging and unnecessary materials have been removed

  • Support vehicles and trailers have been relocated

  • Your activation is clean and ready for Saturday

SATURDAY MORNING

YOUR ACTIVATION SHOULD ALREADY BE SHOW-READY

• Saturday morning will be a very active operational period as MOTORE di ELITE welcomes concours participants and positions show vehicles throughout the Fanzone.​

• Sponsor activations should therefore be fully set up before Saturday morning operations begin.​

• If members of your sponsor team are arriving separately Saturday morning, please make sure they have the appropriate event credentials and arrival information before event day.​

• Please do not move vehicles, expand your activation footprint or make significant changes to your display Saturday morning without first speaking with a member of the MOTORE di ELITE team.

MOTORE di ELITE Event Day, Fanzone access opens at 7:30 AM

BEFORE YOU ARRIVE

✓ Share these instructions with everyone participating in your setup.

✓ Review and save the Gate 40 load-in map.

✓ Arrive prepared to complete your activation Friday.

✓ Bring all equipment and materials required for your activation.

✓ Make sure your team has the necessary event credentials.

DURING LOAD-IN

✓ Enter through Gate 40.

✓ Make an immediate right after entering.

✓ Check in with MOTORE di ELITE staff.

✓ Wait for staff direction before proceeding into the infield.

✓ Stay within your assigned sponsor footprint.

✓ Drive slowly and carefully inside the Speedway.

✓ Remove support vehicles and trailers after unloading.

✓ Follow all MOTORE di ELITE and Daytona International Speedway staff instructions.​
